Log email with BCC
BCC logging sends a copy of a message you choose to BasicCRM. Postmark receives that copy at your workspace address and passes it on. Mail you do not send there is not read by this feature.
Find the address
Each workspace has one logging address. It looks like log- followed by a random code, then @in.basiccrm.io. Everyone in the workspace uses that same address. It is not a separate address per person.
Open Settings and find Email logging. The address is shown there. Copy address puts it on the clipboard, and the button reads Copied for a moment. An address already saved on the workspace keeps working, including an older log.name@inbound.basiccrm.io address.
BCC from Gmail on a computer
- Click Compose, or open a reply.
- On the To line, click Bcc. Cc sits beside it. If Bcc is already visible, use that field.
- Paste the logging address into Bcc.
- Send. People on To and Cc do not see the Bcc line.
BCC from the Gmail app
- Tap Compose, or reply.
- Tap the arrow at the end of the To line so Cc and Bcc appear.
- Paste the logging address into Bcc.
- Send.
You do not have to type it every time
Gmail has no switch that BCCs every message you send. Two options already described in Settings do the copying for some mail:
- A Gmail filter can forward incoming mail to the logging address. Gmail asks you to confirm the address once. That is a forward of mail the filter matches, not an automatic BCC on mail you send.
- A Google Workspace admin can add the address with a routing rule so outbound mail is logged for the whole company.
Mail from either path is still filed only when it matches a contact, as below.
Which messages are kept
BasicCRM keeps the message only when From, To, or Cc includes a contact who is already in the workspace, at that person’s exact email address. The logging address itself does not count. A company domain, with no matching contact, is not enough. Mail that does not match is dropped and is not stored. Adding the person later does not bring that message back.
If From is a teammate’s sign-in email, or From uses the workspace’s company domain, the message is marked Sent and filed on the recipient. Otherwise it is marked Received and filed on the sender.
On the contact, open Email. The row shows the subject, Sent or Received, who wrote it and who it was addressed to, the start of the message, the time, and a Logged via BCC label. The same row is on that contact’s company. If the contact is on exactly one open deal, the message is on that deal too. If they are on no open deal, or more than one, it is not attached until someone picks a deal on the email. A blank subject is stored as (no subject). The same Message-ID is not stored a second time.
PDF attachments are kept, up to five, each 10 MB or smaller, and 20 MB together. A PDF over that limit is left off, and the message starts with a note that the attachment was skipped. Other file types are ignored and are not listed.
Forward one older message
Forward a single message to the logging address. If the person forwarding is a workspace member (their sign-in email, or the workspace domain) and the body contains a forward marker, BasicCRM files the original sender instead of the person who clicked forward. It recognizes these markers:
----- Forwarded message -----Begin forwarded message:----- Original Message -----
The original still has to include a saved contact in From, To, or Cc. This address does not import a mailbox.
If nothing shows up
- The contact’s email on their record has to be the address on the message. Check for a typo or a different alias.
- The contact has to be in From, To, or Cc. Someone who appears only as another BCC recipient is not used for matching.
- If the other party is an address you deleted, the message is dropped until that person is added again.
- A read-only workspace does not save new mail.
- Only the address in Settings → Email logging receives mail for that workspace. The sample address in the in-browser demo does not.
- Disconnecting Gmail does not remove mail that was logged by BCC.
